Connecting an integration
How any integration in Brev works: the connect flow, what Brev sees, how often it refreshes, and how to disconnect.
Every integration in Brev follows the same shape: click Connect on its card on the Integrations page, approve access in the other app's window (or paste a key, for the few apps that use one), and then the data starts showing up where it's useful. This page covers the parts that are the same across every integration. The per-app details are on the category pages.
Where to start #
Open Settings, then Integrations under Personal. Every member sees the same catalog. The cards are grouped into sections, in this order:
- Connected
- Everything you (or, for org-wide apps, your organization) have already connected. Only shown once something is connected.
- Essentials
- Meeting Agent (your Google or Outlook calendar) and Slack App, the two most people set up first.
- Data
- Apps that feed goal values: Asana, BigQuery, Campfire, Excel Online, Google Sheets, Hubspot, Jira, Linear, PowerBI, Salesforce, Sigma and Snowflake.
- Context
- Apps that give Brev background on your work: Google Drive, Granola, Notion Meeting Notes and Roam.
- HRIS
- HR systems. None of these can be connected yet.
Within each section, the apps you can connect come first, in alphabetical order, followed by apps that show Request access (see below).
Searching and linking to a card #
- Type in the Search the integration box at the top right. It matches the app's name and its description, and ignores case, so 'transcripts' finds Granola, Notion Meeting Notes and Roam. Sections with no match disappear.
- If nothing matches, the page says No integrations found. Clear the box to see everything again.
- A link to the Integrations page can point at one card, for example /settings/integrations#hubspot, or at the Essentials section with #essentials. Opening it scrolls to that card and outlines it for a few seconds so you can spot it.
Apps Brev doesn't connect to yet #
Some cards in the grid show Request access instead of Connect. Those apps are in the catalog but aren't ready to connect. Click Request access, optionally answer What would this unlock for you?, and click Request access again to send. Your request goes straight to the Brev team, who use it to decide what to build next. A Request sent confirmation appears and the card's button then reads Feature requested, even after you reload, so you can see the ask landed. Requests are per person. You don't need to email anyone. We'll let you know when that integration goes live.
You can ask from a goal too. In a goal's Auto-track list, an app that isn't ready to connect shows Request access next to its name. Pick it and the request goes to the Brev team right away, and the line then reads Feature requested. If you search for a tool that isn't in the list at all, the list offers Request "<the name you typed>". Pick it (or press Enter) and the Brev team gets that name. Either way you stay on the goal, and a confirmation appears in the corner.
What happens when you click Connect #
- Brev opens the other app's sign-in pageFor most apps, Connect goes straight to the other app, where you authorize Brev to access a specific scope of data, usually read-only on the relevant resource (calendar events, Slack messages, a specific CRM object). Review the permissions before approving. A few cards open a dialog first: Meeting Agent asks whether to connect Google Calendar or Outlook; Campfire, Granola, Sigma and Snowflake ask for an API key or credentials, which Brev checks with the app before saving; Microsoft Teams walks a Microsoft 365 admin through two steps; and Roam takes an organization credential (see below).
- You get redirected back to BrevThe card moves to the Connected section with a green check, and an 'Integration connected' confirmation appears ('Integration reconnected' when goal connections were restored). If you had Operator open when you started, it reopens on the same conversation, docked or floating as you left it. If you started the connection (or a reconnect) from inside an integration's dialog, that dialog reopens where you left it. Google Drive and Granola open their setup (files to add, folders to sync) right away.
- Data starts arrivingWhat happens next depends on the app. Data apps such as Linear, Hubspot or BigQuery feed goals: you pick the report, filter or query when you connect a goal to them, not on the Integrations page. Meeting-note apps differ: Notion Meeting Notes imports roughly the last month, while Granola starts from the moment you connect. The category pages say what each app does.
- From there it stays in sync on its ownBrev refreshes data on a schedule. See 'How often integrations refresh' below for the typical cadences.
If the connection doesn't go through #
When you come back from the other app without connecting, Brev tells you why in a message in the corner and leaves everything as it was. You can click Connect again straight away.
- Connection cancelled
- You declined or closed the other app's authorization page. No changes were made.
- Connection failed
- The other app turned the request down. When it says why, Brev shows its reason. Otherwise you see a general explanation, such as the app not recognizing Brev (it may not be available for your organization yet, so contact support), or 'Something went wrong during authorization. Please try again.'
- Unable to connect integration
- Brev couldn't start the connection. Try again, or refresh the page first.
Connecting Roam (Org Admins) #
Roam sends your organization's meeting transcripts to Brev using one credential for the whole organization, so only an Org Admin or Owner can connect it (see Roles & permissions). Anyone else who tries sees "An error occurred while saving credentials" after clicking Connect.
- Open the Roam cardIn the Context section, click Connect on the Roam card.
- Enter the credentialFill in Client ID and API Token. Webhook Secret is optional; it's used to verify the requests Roam sends to Brev. Click Connect.
- Check it savedThe dialog stays open and shows a green Connected, and Roam appears in the Connected section. Roam's cards keep their Connect button rather than a green check, so use Connect to reopen this dialog later.
- To change the token, reopen the dialog, type the new one under API Token (leave blank to keep current), and click Update.
- Disconnect removes the credential at once, with no confirmation step.
What Brev does and doesn't see #
- Most integrations are read-only. Brev doesn't post or modify data in the other app unless you specifically use a feature that does (e.g. posting goal recaps to a Slack channel, exporting check-ins).
- Brev only stores what it needs. For meeting integrations, that's the transcript and meeting metadata. For CRMs, it's the records you tell it to track. For warehouses, it's the query results, not the raw rows.
- Per-user scope by default. Calendars, chat tools, CRMs, work trackers, and docs are connected per individual. Your teammates have to connect their own. The exceptions are noted on each category page.
How often integrations refresh #
Brev refreshes integration data on its own. You don't have to push a button. Frequency depends on the integration type:
- Real-time (webhooks)
- Slack messages, Slack mentions, calendar event changes, HubSpot record updates, Linear project updates, and Jira issue changes on connections that opted in. Brev gets notified the moment something changes in the source app, so the data shows up within seconds.
- Every 30 minutes by day, every 4 hours overnight (goal connections)
- A goal connected to Linear, Jira, Asana, Google Sheets, BigQuery or another data source refreshes every 30 minutes from 11:00 to 23:59 UTC and every 4 hours overnight (at 00:00, 04:00 and 08:00 UTC). If you make a change in the source app and don't see it on the goal right away, give it up to 30 minutes during the day, or click the refresh icon on the goal's connection. (Notion AI Meeting Notes are the exception. They sync about every 15 minutes; see the Notion integration page.) Linear and Jira connections that use webhook updates land faster than this. See the work trackers page.
- Daily (large or low-volume sources)
- Google Drive files you've added (processed at 4 AM UTC) and Slack channel digests run once a day, overnight UTC. Use these for things that don't need to update in real time.
- On goal check-in
- When you submit a check-in on a goal that has an integration connection (e.g. a Linear project, a BigQuery query), Brev refreshes that specific data point right then so the value reflects current reality.
- Token refresh · hourly, automatic
- Brev refreshes OAuth tokens in the background every hour. You won't need to reconnect just because time passed; only if you explicitly revoke access from the source app, change your password, or the source app expires the connection on its end.
What each integration card shows #
- Status: a green check means the connection is working. A warning triangle means it isn't: Brev hit an error with it, or the connection was switched off. Hover over or focus the triangle to read why.
- Connected date: e.g. 'Connected 21 days ago', when the integration was first set up.
- Account picker: if you've connected more than one account of the same app, a dropdown picks which one the card's buttons act on.
- Buttons: they depend on the card. Data and Communication cards show a Reconnect integration icon and Disconnect. Context cards show Edit (Google Drive files, Granola folders, or the connection list), the Reconnect integration icon and a trash icon. The Meeting Agent card shows Go to settings, which opens Meeting agent settings. A card with a warning triangle shows Reconnect and a trash icon together, so you can remove it if reconnecting doesn't fix it.
- Disconnect and the trash icon both ask you to confirm with Delete. Deleting also removes every goal connection that uses the integration; if you reconnect later, you'll need to add it back to each goal.
The connection list #
On a healthy card, the Reconnect integration icon on an app that uses an API key (and Edit on Context apps such as Notion Meeting Notes) opens a list of your connections for that app. Each row shows the account, the date it was connected, a status badge (Active, Inactive or Error) and an on/off switch.
- Turning the switch off pauses the connection: the card shows a warning triangle and Reconnect, and the dialog asks you to reconnect (for an API-key app, to paste the key again with Update API token). There's no switch to turn it back on; reconnecting is how you resume it.
- Hover over a row to show its ... menu. Refresh connection (for apps you sign in to) sends you through the app's sign-in again to renew Brev's access. Delete integration removes that connection after you confirm.
When something's off #
- Warning triangle on a card
- Brev can't use the connection: the source app revoked Brev's access (you changed your password, an admin rotated credentials, the app expired the grant), something else went wrong, or the connection was switched off. Hover over or focus the triangle to read why; when Brev has no specific reason it suggests reconnecting or checking that the Brev app is still installed on the provider. For Slack, a passing outage on Slack's side clears itself: Brev retries and the warning usually goes away at the next hourly check. Don't count on that for other integrations, and don't wait it out even for Slack, because while the warning is up Brev stops syncing that integration and the Slack bot stops replying to messages. Click Reconnect on the card: apps you sign in to send you through their sign-in again, and apps that use an API key ask you to paste a new one. If reconnecting keeps failing on the source app's side, click the trash icon next to Reconnect to remove the connection and start over. If the warning comes back within a day, contact support. There's likely a configuration issue with the source app.
- Data isn't showing up
- Give a goal connection up to 30 minutes during the day, or up to 4 hours overnight (00:00 to 11:00 UTC); daily sources such as Google Drive take up to a day. If it's still missing, click the refresh icon on the goal's connection. If that doesn't help, check that the source app actually has the data you expect (e.g. the Slack channel isn't archived, the goal owner has access to the BigQuery dataset). Then contact support with the integration name and the time of the failed sync.
- Amber "Not syncing" on a connection
- Brev is still signed in to the source app, but could not read a value from this particular connection: the report came back empty, the value wasn't a number, or the source app refused the request for now. Reconnecting won't help, because the sign-in is fine. Refresh the goal and the message that appears will say which of those it is. For Snowflake, Sigma and Campfire, the badge also links to Settings, since their credentials and configuration live there.
- "Failed to refresh connection" on an auto-tracked goal
- When Brev knows why a refresh failed, the message says so and tells you where to look: an exhausted API allowance, a rate limit, a query that timed out, a report that returned nothing, a value that wasn't a number, or an item the connected account can no longer see. Read the second line before reconnecting. Several of these clear on their own and reconnecting won't help. The short "Please try again or reconnect the integration" appears only when the source app gave no reason at all, and that is the case worth sending to support, along with the goal name and roughly when you clicked Refresh.
- I want to remove an integration
- Click Disconnect (Data and Communication cards) or the trash icon (Context cards), then Delete to confirm. Brev stops syncing immediately and the credentials are deleted from Brev. Goal connections that used the integration are removed too. Past meeting recaps and check-in values already on your goals stay. If you want that data gone too, contact support. To disconnect your calendar, use Meeting agent settings.
