Meeting agent

Auto-join policy, recap-delivery channels, the agent's name and join message, automatic agenda creation, which meeting types feed goal alignment, and the connected calendar.

Meeting agent settings with auto-join radios, recap channel pickers, agent appearance, and calendar connection.

Configures the bot that joins meetings to take notes. Subtitle: Customize how your AI agent joins, listens, and captures insights from meetings. Open to every member. Auto-join and recap delivery are your own; Appearance Settings and Goal alignment apply to everyone in the organization and only org admins can change them (members see those controls greyed out). Auto-join configuration and E-mail and Slack settings only appear once you have connected a Google or Outlook calendar under Connection settings.

Auto-join configuration #

All my meetings
The agent attempts to join every meeting on your calendar.
All internal meetings
Only meetings whose attendees are all on your org's email domain.
Opt-in Only
The agent never joins automatically. You pick events from a 'Customize meetings' picker.

Narrowing your policy cancels the agent on meetings it was already set to join, so Brev asks you to confirm first and tells you how many upcoming meetings are affected. Choose 'Keep them' to back out; nothing changes. Widening your policy (for example to 'All my meetings') applies straight away, because it cancels nothing. Re-adding the agent afterwards is a per-meeting job under 'Customize meetings'.

Your auto-join policy only changes meetings you host, plus meetings with no Brev host. The host is the organizer when they're in your org; otherwise, for a recurring meeting, it's the series owner, so a one-off meeting from an outside organizer is the usual meeting with no Brev host. Meetings someone else in your org hosts follow that host's setting, so changing yours never turns the agent on or off in their meetings, and the confirmation count only includes meetings your policy actually changes.

Who controls the agent in a meeting #

Each meeting has one meeting agent setting, shared by everyone in it. The meeting host has priority: when the host turns the agent on or off for a meeting (from the meeting, the series toggle, 'Customize meetings', or by recording it), that choice is locked for everyone else. Other attendees see the toggle disabled, with a note saying only the host can change it. The host can always change it again.

  • Turning the agent on or off for a whole series skips any meeting the host has locked, and tells you how many were left as the host set them.
  • Once anyone turns a series off, meetings your calendar adds to it later start with the agent off too, whatever the host's auto-join policy, until someone turns the series back on. They count as turned off by whoever turned the series off, so a host's choice is locked on them as well.
  • A host's auto-join policy and calendar defaults are not a lock. They set the starting value, and attendees can still change it for a meeting.
  • Next to each toggle, Brev shows who last turned the agent on or off when it was someone other than you, for example 'Turned off by Dana (host)' or 'Turned on by Sam, via their meeting agent setting'. Changes made by calendar sync read 'Turned off by calendar sync', for example when a meeting is cancelled.

Meeting capture sources #

Turn each source Brev captures meetings from on or off, without disconnecting it. Pausing a source stops new meetings coming in from it; turning it back on resumes capture.

  • Brev Meeting Agent: Brev's own notetaker. Off sets your auto-join policy to Opt-in Only (confirmed first, since it cancels meetings the agent was already joining); on puts you back on the policy you had before you turned it off. Pick exactly which meetings it joins under Auto-join configuration above.
  • Granola / Notion: each connected meeting-note source has its own switch. Pausing one stops Brev from importing new notes from it; recaps already imported stay.
  • Calendar: if you rejoined this organization while another one captures your meetings, your calendar here shows Paused under Connection settings. Your meetings still appear, but the agent isn't sent to them automatically. Resume turns capture back on once the other organization no longer captures; until then it tells you which organization does.

E-mail and Slack settings #

  • Meeting recaps will be sent to Slack: who gets the recap, Host Only, Host & Brev Users or All Participants.
  • Meeting recaps will be sent to Email: same options.

Appearance Settings #

  • Agent name: what shows up in the meeting participant list, up to 100 characters. A new workspace starts with its company name followed by 'Goal Tracker'; clear the field and it falls back to 'Brev Agent'.
  • Introduction Message: message the agent sends when it joins, up to 415 characters (a counter shows while you type).
  • Automatic agenda creation: off by default. Generates an agenda up to 48 hours before each meeting that has the agent scheduled.
  • Each change saves straight away and shows 'Meeting agent settings updated'.

Goal alignment #

Choose which meeting types Brev matches to goals. A meeting of an unchecked type is never matched, so it never shows up in goal insights, check-in suggestions, the aligned goals on the meeting page, or the goal context agents read. Every type is checked except 1:1, so 1:1 conversations stay out of goal insights unless you opt them in. Only org admins can change this (see Roles & permissions).

  • A meeting's type is its cadence's type, which you set on the cadence page. Brev never sets a type on its own: a cadence created from your calendar starts with none until someone sets it, though Brev may suggest one for an admin to accept.
  • A meeting with no type counts as a 1:1 when the calendar invite has one or two attendees. Larger untyped meetings, and ones whose attendee count is unknown, are always matched: no checkbox controls them.
  • Setting a cadence's type overrides that rule, so a two-person cadence typed as Planning is matched to goals.
  • Ad-hoc meetings (calendar events that belong to no cadence) have no type, so the same rule applies: one or two attendees counts as a 1:1, and anything larger, or with an unknown attendee count, is always matched.
  • A type Brev suggested for a cadence does not count until someone accepts it from the cadence's type chip; until then the attendee-count rule above applies.
  • Unchecking a type hides its past meetings from goal insights right away. Insights already written from them are marked as needing a refresh and are not used as context until they regenerate.
  • Checking a type again brings its past meetings back. Meetings recorded while it was unchecked were never matched, so they stay out.
  • Slack, Granola, Notion, and Drive sources are not calendar meetings and are matched as before.
  • A Brev Recorder recording is matched only if the person who recorded it left Use for goals on after stopping it. With it turned off, the recording is never matched, whatever its meeting type, and none of its action items are linked to goals.

Connection settings #

  • Google Calendar and Outlook Calendar each have a Connect button, which sends you to the provider to approve access. Once connected the row reads Connected with a Disconnect button. If the authorization has expired or been revoked, the row says so and offers Reconnect as well.
  • Coming back from the provider, a message says whether the calendar connected ('Calendar connected successfully') or not ('Calendar connection failed'). If you left calendar access unchecked on the consent screen, the message says so: connect again with it checked.
Disclose recording
Some jurisdictions require explicit consent before recording. Brev's bot plays a join notification and is visible in the participant list, but the social cue should still come from you.
