Cadence event

A single occurrence of a cadence: its agenda, notes, artifact tiles, attached goals, action items, cadence health, and alignment.

core
ai

Each occurrence of a cadence has its own page at /cadences/<eventUuid>. The page title is Event Details. You get there from the Cadences list by clicking any row.

Page tour #

  • Breadcrumb + header card: by default the top of the page shows 'Cadences > <cadence name>'; on a cadence meeting, click the cadence name to switch to another cadence (with a three-dot actions menu holding Share meeting, Link to cadence or meeting, Lock down / Unlock meeting, and Delete meeting; lock = make the meeting private to its privacy circle) above a header card with the event name, schedule ('Thursdays at 5:00 AM'), recurrence pill (Weekly), attendee avatars, the cadence type pill, and the teams pill.
  • Timeline strip: next to the header card, a horizontal strip of date cards shows the past and upcoming occurrences (the current one is highlighted). Scrolling down the page collapses the whole header into a single compact row; scrolling back to the top brings it back. The chevron button at the strip's right edge hides it on purpose. A purposeful hide sticks (scrolling to the top won't reopen it) until you tap the chevron in the compact row.
  • Compact row (collapsed view): while collapsed, everything condenses into one slim row: a 'Cadences' link back to the list, the name, schedule, pills, and the actions menu, plus the current occurrence's date between left/right arrows. The arrows step to the previous/next occurrence; clicking the date opens a dropdown listing every occurrence (LIVE / PAST / UPCOMING) so you can jump straight to any of them without reopening the timeline.
  • Tabs: every meeting has Agenda and Artifact tabs. A past meeting with a recording or transcript adds Overview (its summary) in front and opens on it, as does a past meeting the notetaker was scheduled for, where Overview shows why nothing was recorded (for example the notetaker did not join); other meetings open on Agenda. Depending on what your organization has turned on, you may also see Transcript and History (both described below). The tab you last picked is remembered and reopened on the next meeting that has it.
  • Action items and Insights: two icon tabs at the right end of the tab row open a side panel. It's tucked away by default; click either icon to slide it open on that view, and the close button to put it away. Drag the panel's left edge to make it wider or narrower (the width is remembered). Action items shows the action items linked to the meeting (on an upcoming cadence meeting, the whole cadence's). Check one off inline, add one with 'Add action item', or hover a row (or right-click it) to open its options menu to change status, change owner, link a goal or meeting, or delete. Brev's suggestions for you (and ones nobody has been assigned yet) sit in the 'Generated by Brev' group, where you keep or dismiss them. If you host the meeting, you can also change any kept action item from it, whoever owns it (only its owner, their team admin or an org admin can delete it), and a collapsed 'Awaiting others (n)' group below it lists everyone else's pending suggestions, grouped by person. As the host (its organizer, or the owner of its series; for a private meeting, only its host) you can keep or dismiss each one there; changing its owner, goal or tags stays with the person it's assigned to. If the list looks out of date, the refresh button at the top of the panel pulls the latest action items. Insights is described in Cadence insights.
  • Notetaker pill: a small pill at the right edge of the tab row shows what Brev's notetaker is doing, for example 'Brev’s Notetaker scheduled', 'Brev’s Notetaker not scheduled', 'Recording in progress' or 'Recording completed'. Click it for a menu. On an upcoming or live meeting, 'Schedule notetaker' turns the agent on or off for this meeting; if the host has set it, only the host can change it, and the switch says so. The host also gets a 'Host only' switch (see Keeping a recap to the host). When the meeting has a link from your calendar and hasn't ended yet, the menu also carries a 'Join meeting' link.

Joining the meeting #

About a minute before one of your meetings starts, Brev pops up a reminder in the corner of the screen with the meeting's name, a Starting now marker that turns into Live now once the meeting begins, and a Join and open cadence button: the call opens in a new tab while Brev moves to the meeting's own page, so the agenda and notes are waiting when you come back. The arrow beside it lets you do just one: Join meeting opens the call and leaves you where you are, and Open cadence goes to the meeting's page and keeps the reminder up so you can still join from it. On the meeting's own page the reminder shows a plain Join meeting button instead. It follows you around the app, so you get it whatever page you're on, not only on the meeting's own page. It appears for meetings you're an attendee or the organizer of, never for everyone else's, and only for meetings with a link on the calendar invite (a room booking, or a dial-in written into the description, has nothing to open). The reminder carries the meeting platform's logo, so a Zoom call reads differently from a Google Meet or Teams one at a glance; a link on a platform Brev does not recognize keeps a generic icon. It closes on its own after about a minute and a half on screen, with a thin bar along its bottom edge showing the time left; the countdown pauses while you hover over it, tab into it, or have its menu open, while newer notifications push it out of view, and while you're on another browser tab. It also goes away when you join or close it with the X, and once the meeting's scheduled end passes. Joining the meeting from anywhere in Brev (the Join button in the page header, the Join meeting link in the notetaker popover, or Join on a meeting in your Home feed) clears it too, and a meeting you join that way before its reminder is due never shows one. Each meeting reminds you once: it shows up in the browser tab you're looking at, not in every open tab, and closing or joining in one tab closes it everywhere. Once it has been shown, closed, joined, timed out, or the meeting has ended, that meeting won't ask again, even after a reload.

The Agenda tab: recap, agenda and notes #

The Agenda tab is a single page with up to three collapsible sections:

  • Recap from Recent Meetings: on an upcoming cadence meeting, a read-only recap of the cadence's recent meetings, with 'Copy recap'. It goes away once the meeting is over; a past meeting's own summary is on its Overview tab.
  • Agenda: on cadence meetings only. An agenda is a list of titled sections, each with its own text. With edit access you can add a section with 'Add section' (it starts as 'New Section'), click a section's title to rename it (Enter saves, Escape cancels), drag the handle to reorder, collapse a section with its chevron, and remove one with its trash button (there is no confirmation). 'Copy agenda' copies every section title and its text.
  • Notes: a free-form editor for the meeting's shared notes. Everyone who can open the meeting reads the same notes, and anyone who can edit it can change them, so keep private material out. Click into it to show the formatting toolbar (bold, italic, heading, bulleted and numbered lists, links, and image upload). You can also paste an image from your clipboard or drag an image file in; the cursor lands on the line below it. To remove an image, hover it (or tap it) and press the X in its corner. Once there are notes, 'Copy notes' copies them.

Edits save on their own a couple of seconds after you stop typing; the section header shows Saving, then Saved, then when it was last updated. People with read-only access (such as a viewer the meeting was shared with) see the sections marked 'View only', without the toolbar or the agenda controls.

Typing shortcuts #

Anywhere you type words, a few character pairs turn into symbols as you type: notes, agenda and artifact markdown tiles, check-in notes and comments, and plain fields such as goal titles, metric names, tile titles and the chat boxes. The pairs: -> becomes →, <- becomes ←, <-> becomes ↔, => becomes ⇒, != becomes ≠, <= becomes ≤, and >= becomes ≥. Press Backspace right after a conversion to get the original characters back. Nothing changes inside inline code, code blocks, links or a web address you are typing, and pasted text is left as it is. Search boxes, and fields that hold a web address, a key, a query, code or a number, keep exactly what you type.

To add an emoji, type : at the start of a line or after a space, then two or more letters of its name, for example :th. A menu of matching emoji opens at the cursor; pick one with Enter, Tab or a click, or press Esc to close it. The same menu works in plain fields such as titles and chat boxes, where it opens below the field. In a comment, a chat box or a title, Enter picks the emoji instead of sending or saving while the menu is open. Typing a full name with both colons, like , turns it into 👍 straight away, and Backspace right after brings the name back. The menu does not open inside inline code or code blocks, or for a colon in the middle of a word or time like 10:30.

Agenda · auto vs. manual #

If Automatic agenda creation is on in Meeting agent settings, Brev builds the agenda for each meeting that has the notetaker scheduled, up to 48 hours ahead. Until then an empty agenda reads Let Brev handle your agenda, with a Generate now button if you don't want to wait. Otherwise, and for meetings without the notetaker, it reads Create a meeting agenda with a Create with AI button. Either button writes the agenda as you watch, as editable sections marked 'Generated by Brev'. To start over, use the regenerate button in the Agenda header; it asks you to confirm, because the current agenda is replaced. A meeting that is already over shows 'No agenda for this meeting' instead.

The agenda draws on the meeting's context, its attendees and recent transcripts. Because everyone at the meeting reads the agenda, it only uses open actions and recaps from earlier meetings in the series that every attendee could already open, so a private meeting, or one some of today's attendees were not invited to, never feeds it. Attendees' goals follow the same rule: a private goal is used only when every attendee can see it, whoever generates the agenda. The same rules apply when you generate the meeting's artifact.

The Artifact tab #

The Artifact tab holds the meeting's artifact: a page of tiles (text, goals, KPIs, actions, images, embeds and more) that you build up for the meeting and can share or present. Everything about creating, sharing and presenting artifacts is in Artifacts.

Tile types & layouts #

With edit access, the + button on the artifact opens a menu of tile types: Text, Goals, a Project stack (a goal list where only projects are selectable), KPI cards, Image and Embed, plus these goal and action tiles:

  • Goal spotlight: a single tile with the goal's details (title, description, type, owner, time period) on the left and its progress chart on the right. Pick the goal when you add it.
  • Goal alignment: a single tile with the goal's details on the left, and a compact list of its child goals on the right.
  • Actions: a list of action items for this meeting that you can check off and update inline.
  • Average progress: average progress over time across your organization-level goals (goals owned by the organization itself, not team or personal goals) or a team you pick.

The menu also offers Chart, Diagram and Document, which Brev builds for you from a description. Your organization may call goals and projects by other names, and the menu uses those names.

These tiles all show live data. A goal renamed, a project closed, or an action completed elsewhere updates the tile automatically. The same tiles can be created by Brev's agent over MCP.

The goal picker's filters only change which goals are listed, not which are picked. When you edit a goal list or KPI card, goals already picked that the filters hide are listed at the top under N selected, hidden by filters, where you can untick them or click Remove all.

While the meeting is happening #

When the cadence is in 'live' state, the agent transcribes silently. You don't need to do anything. Just run your meeting. Brev's bot is visible in the participant list of your video tool.

If someone moves the meeting to a later time while it's still running - a common way to say "let's restart in 15 minutes" - you'll end up with two meetings for that day rather than one. The original keeps whatever the agent already recorded, and the new time gets its own meeting and its own agent. Nothing that was already captured is moved or overwritten.

After the meeting #

  • Summary, highlights, and action items populate automatically (when meeting agent is enabled). Under the summary on the Overview tab you'll find thumbs up/down buttons. Use them to tell us whether the AI summary was accurate; you can attach a short note after reacting.
  • Action items propose owners and link-goal hints. Accept them and they appear under Actions for the assignee. An owner is only proposed when the person named in the meeting matches exactly one attendee. If two attendees could both be meant (say, two people who share a first name), the action arrives unassigned so the right person can claim it, rather than guessing.
  • Captured check-ins are offered as drafts on the relevant goals if Suggested Check-ins is on.
  • Email and Slack recaps go out according to the channel mix in Meeting agent settings.

If the notetaker didn't make it, the Overview tab says why instead of showing a summary: for example 'Notetaker did not join', 'Recording Failed', 'Recording Cancelled', or 'Summary Still Processing' while Brev is still working on it.

Cadence insights #

The Insights icon at the right end of the tab row opens the 'Cadence insights' panel. Its tabs across the top switch between views:

  • Health (upcoming meetings): the cadence's overall health score and its trend across recent meetings. If the meeting agent is off for the cadence, it says 'Meeting Agent Disabled' instead, with an 'Enable meeting agent' switch that turns the agent on for the cadence's upcoming meetings so they can be scored.
  • Effectiveness (past meetings): this meeting's score, or 'No Score Available' if it wasn't scored.
  • Guidance: recommendations, anti-patterns Brev spotted, and forward motion, shown when Meeting Guidance is on for your organization and Brev has guidance for this meeting.

An upcoming one-off meeting that isn't part of a cadence has no health score, so the panel reads 'No Metrics Yet'.

Who can see a meeting #

Who can open a meeting, sharing it with viewers and editors, keeping its recap to the host, and locking a meeting are on Meeting privacy.

Linking a recording to an existing meeting #

Choose Link to cadence or meeting from the meeting's three-dot actions menu to open the 'Link meeting' dialog. There you can rename the meeting, or use the Cadence picker to connect a one-off meeting to a cadence, move it to another cadence, or pick 'None' to make it a one-off again. Save applies the change. You need edit access to the meeting.

If you recorded a meeting ad-hoc that already existed on the calendar, you can move the recording onto the real one instead of leaving two entries. On an ad-hoc recording (one you started yourself rather than one that came from a calendar invite), the host picks Link to cadence or meeting from the meeting's three-dot actions menu. The dialog has two pickers side by side, Cadence and Meeting, the same kind as the parent picker on a goal. The meeting list follows the cadence choice: with None (ad-hoc meeting) it lists your other ad-hoc meetings, and with a cadence it lists only that cadence's occurrences (recent meetings only). Leave the Meeting picker empty to only change the cadence, or pick one and choose Move recording to move the recording across.

  • What moves: the transcript and its chapters, the action items detected from it, the artifact, the meeting score, and the people who attended the ad-hoc meeting. Notes move too, unless the meeting you picked already has its own.
  • What does not move: anyone you shared the ad-hoc meeting with as a viewer or editor. A share applies to the meeting it was made on, so it ends when that meeting does; it is never turned into access to the meeting you moved the recording into. Share the target meeting with them again if they still need it. In-meeting chat captured by the notetaker also stays with the original meeting rather than moving.
  • What happens to the ad-hoc meeting: it drops out of your meetings once the move succeeds, so you're left with a single meeting holding everything. Nothing is erased, but there is no in-app way to bring it back, so treat the move as final.
  • Meetings you can't pick: anything that already has its own recording, or is still due to be recorded, is listed but not selectable; a meeting can only hold one. The same applies if both meetings have notes or both have a primary artifact, so clear one side first.
  • Who can do it: the ad-hoc meeting's host, plus anyone who can already manage it (see Roles & permissions). You also need edit access to the meeting you're moving it into.

Deleting a meeting #

Choose Delete meeting from the meeting's three-dot actions menu, then Delete to confirm. This permanently deletes that one meeting, not the rest of its cadence, and takes you back to Cadences. It can't be undone.

  • What goes: the meeting itself with its agenda and notes, its list of participants and shares, any notetaker scheduled for it, and its action items.
  • What stays: a transcript recorded for the meeting is kept but no longer attached to it, and check-ins captured during the meeting stay on their goals. Goal and view insights that drew on the meeting are marked stale.
  • Who can do it: the meeting's host and org admins; nobody else sees the option (see Roles & permissions).

Renaming a meeting #

Renaming a single occurrence on your calendar is safe. That meeting keeps its own new title, and it stays in the same cadence, so its notes, actions, artifacts and transcript stay with it and with the rest of the chain. Use it for the week a standing meeting becomes something else, like a quarterly review.

The cadence keeps its own name, because that name comes from the title your upcoming meetings mostly share. Rename the whole series on the calendar and every upcoming meeting changes together, so the cadence follows on the next sync. Past meetings always keep the title they had at the time.

One case to know about: if a series has only a single meeting left on the calendar, renaming that one does rename the cadence, because there is nothing left to weigh it against. If you want the cadence to keep its name, rename the meeting once the next ones have been scheduled.

Cancelled meetings #

When a meeting is cancelled on the calendar before it happens, it drops out of your cadence and meeting lists. There's nothing to prepare for or review. Its page still opens if you have a link to it (from an action, a recap, or your history), and shows a note at the top saying the meeting is cancelled, so a link that used to work never leads to a page that looks like an ordinary meeting.

A cancelled meeting that already happened is different: if Brev recorded it, or scored it, or captured a transcript, it stays in your lists as normal. Outlook cancels the old series when a recurring meeting is renamed or rescheduled, and that cancellation applies to occurrences that have already taken place. Those meetings really happened, and the recording is the point.
