Billing

Admin-only page for subscription, AI-credit balance and grants, invoices, and payment controls.

Open in app
billing
admin only
Billing settings with the free-trial subscription card, the company credit balance and the active credit grants.
Admins and the Owner only
Billing and Plans are open to org Admins and the Owner. Anyone else who follows a link to them is sent back to the app (see Roles & permissions). Open Billing from Settings, under Workspace.

Page title: Billing, with the subtitle 'Your invoices, payment method, and subscription, all in one place.' The page shows your subscription, credit balance, overage, active credit grants, invoices and payment method, in that order.

Sections #

  • Subscription: during a free trial the card reads Free trial subscription with the date it expires (or ended), and an orange Show plans button that opens Plans. On a paid plan it reads Growth subscription or Enterprise subscription, with the renewal date when there is one (otherwise 'Subscription details are managed by the Brev team.'), and a Manage billing button that opens your billing provider's secure portal.
  • Credit balance: the Company Balance card shows this month's balance, the soonest expiry, your next renewal if you subscribe monthly, and a bar of credit carried over, used and remaining. When your workspace has used credit in the last 14 days, it also shows when credits run out at that pace, Operator answers included, unless they expire first. Add extra credit and Subscribe monthly each open a list of amounts and take you to a secure checkout. Once you have a monthly subscription, the second button reads Change tier, and Manage subscription appears beside it. When checkout is switched off, both buttons are greyed out.
  • Overage: what happens when credits run out. With Allow overage off (the default), AI features pause until an admin adds credits. Turn it on and set a Monthly overage limit in whole dollars, and AI keeps running past an empty balance, with the usage billed as overage, until the month's overage reaches the limit. The card shows how much overage this month has used and when it resets (the first of each month, UTC). A change can take up to a minute to reach every AI feature.
  • Active credit grants: the Credit lots table lists each grant with its Source, Granted, Used, Remaining and Expires amounts, so you can see which credit is spent next. A new workspace starts with a $100 welcome grant.
  • Invoices: for Stripe billing, the Invoice history card's Open billing portal button opens your invoices in Stripe's secure portal. Workspaces billed through paid.ai see their invoices in a table on the page.
  • Payment method: Manage payment method opens the provider's secure portal, where you update the card used for subscriptions and credit purchases. Your payment details are stored by the billing provider.

If Brev cannot confirm which billing provider your workspace uses, the subscription card says 'Billing controls unavailable' and the invoice and payment sections say they are unavailable, rather than offering buttons that would fail. If a portal fails to open, you see 'Failed to open billing portal. Please try again.'

Your trial countdown #

Workspaces created on or after the trial launch start a 14-day free trial. In the final week, a banner at the top of every page counts it down for everyone in the workspace. Admins get an Upgrade button that opens Plans. Members are asked to contact a workspace admin instead, since only admins can open that page (see Roles & permissions). It stays off the Billing page and the docs in every state. No trial banner appears while more than 7 days remain. From the final week onward, the trial warning can appear on phones and in the full-screen Operator because it has the highest priority in the single app-wide banner slot. Closing it stores a dismissal in this browser for the current user and workspace, so it survives navigation and reload. A later escalation from final-week warning to grace or expired re-arms the banner.

  • More than 7 days left: no trial banner; the slot can show another eligible workspace banner.
  • 7 days or fewer: the banner turns into a warning. This is the moment to sort out billing.
  • Trial ended, still working: for 3 days after the end date the banner says how much access is left and nothing is paused yet.
  • Paused: once those 3 days are up, a distinct 'Your trial has ended' banner. Your goals and history are kept; upgrade to carry on.
Not seeing a trial banner?
Workspaces that existed before trials were enforced, and workspaces a Brev team member has marked as exempt (for example after you've paid), never show one. Nothing about your access changes.

The trial lifecycle at a glance #

A workspace on the trial clock moves through these states in order. There is exactly one way out of the last one.

  • Active: from the day the workspace is created until 7 days before the end date. Everything works, and no trial banner shows yet.
  • Ending soon: the final 7 days. Everything still works; the banner becomes a warning. This is the window to upgrade.
  • Grace period: the 3 days after the end date. Everything still works exactly as before; the banner counts down the days of access left. Upgrading in this window means nothing ever pauses.
  • Paused: 3 days after the end date. The workspace is paused (below). Nothing is deleted.
  • Upgraded: once you have paid, a member of the Brev team marks the workspace as no longer on trial. Access returns immediately, the banner goes away for good, and the workspace never re-enters the clock.
Paid, but still paused?
Lifting the pause after payment is done by the Brev team, not automatically, and it is normally the same day. We check every morning for workspaces that have paid and are still paused. If yours is still paused, contact support with your workspace name: the fix is a single switch on our side and takes effect within a minute, with no reload needed.

What happens when a trial ends #

A trial gets a 3-day grace period: for 3 days past the end date everything keeps working and the banner counts down. After that the workspace is paused: everyone in it sees a Your trial has ended message over the page they asked for, dimmed and not clickable behind it, and the API and MCP connectors answer trial_expired. Nothing is deleted. Every goal, check-in and report is exactly where you left it. After payment, the Brev team lifts the workspace pause, normally the same day.

Work that runs in the background stops too: scheduled digests and reminders, check-in drafting, meeting recording and transcript processing, and every kind of AI generation. This is what stops a paused workspace from quietly spending on a plan nobody is paying for, and it is why the workspace looks unchanged when you come back rather than having drifted for weeks.

A short list of things keeps working, so a paused workspace is never a dead end:

  • Signing in and out: authentication is never affected.
  • The workspace switcher: if you belong to more than one workspace you can always leave the paused one. It stays in the navigation bar above the message.
  • Your account settings: profile and notification preferences, plus the MCP, CLI and API key settings. You can still turn off emails from a workspace you can no longer open.
  • Plans and Billing: the pages you need to upgrade. Only workspace admins can open it (see Roles & permissions), so members are asked to contact a workspace admin instead of being given a button that would not work.
  • These docs: always available.
  • Your connected apps stay connected: Slack, Google, Microsoft and the rest keep their sign-in refreshed for as long as the workspace is paused. Nothing new is pulled in while it is paused, but when you upgrade your integrations are still there. You do not have to reconnect them.
Workspaces that never see this
Workspaces that existed before trials were enforced, and workspaces a Brev team member has marked as exempt (for example after you have paid), are never paused, regardless of any date on their record. If you are unsure which applies to you, the trial banner is the tell: no banner means no countdown and no pause.

Returning from checkout #

After a checkout you come back to Billing, which confirms the payment with the provider. You see Credit purchase complete. Balance updated and the new balance. If you cancel or leave the checkout, you come back to Billing with no message and nothing is charged. If the provider reports that the checkout failed, you see Checkout did not complete. Please try again..

Credits don't pause for archived goals
If you archive a goal but leave the meeting agent on for cadences that discussed it, credits still draw down. Tighten the join policy in AI meeting agent settings if you want spend to slow.

Controlling spend #

  • Tighten Meeting agent join policy.
  • Turn off individual AI toggles in Settings → AI & agents → Capabilities.
  • Pause or delete recurring Operator tasks you no longer need. Each scheduled run draws credit.
  • Give a member a Restricted or Power usage profile in Settings → Members. You hear when someone passes their monthly allowance.
  • Keep Allow overage off, or set a low Monthly overage limit, so spend stops when credits run out.
