Automated KPI (Metric) Check-Ins

Summary

For Metric goals connected to a data source, Brev can pull current values automatically — no manual check-in required. This article explains how to set up automated KPI updates and what to expect once they're running.


Why Automate KPI Updates?

Manual check-ins are great for qualitative updates and context. But for hard numbers — revenue, pipeline, NPS, uptime — manually entering values every week is error-prone and tedious. The data already exists in your systems; Brev should just pull it.

Automated KPI check-ins eliminate the update burden for your most important metrics, keep data current without anyone thinking about it, and remove the human-lag problem (the number in Brev is always current, not "last Friday's number that someone entered on Tuesday").


How Automated Check-Ins Work

1. You connect a Metric goal to a data source (Google Sheets, HubSpot, Salesforce, etc.).

2. You configure which cell, field, or record Brev should pull from.

3. You set the sync frequency (hourly, daily, weekly).

4. Brev fetches the value at the configured interval and updates the Metric automatically.

5. Each automated pull creates a check-in entry in the goal's history, timestamped and labeled "Automated update."

The goal owner doesn't need to do anything — the number stays current on its own.


Setting Up an Automated Check-In

Step 1: Connect the Integration

If you haven't already, set up the relevant integration:

  • Go to Settings → Integrations.

  • Connect the data source (Google Sheets, HubSpot, Salesforce, Linear, GitHub, etc.).

  • Authorize the connection.

Step 2: Link the Data Source to a Metric Goal

1. Open the Metric goal.

2. Click Connect data source in the goal detail view.

3. Select the integration.

4. Navigate to the specific data point:

  • Google Sheets: Select the spreadsheet → sheet → cell or named range.

  • HubSpot: Select the report → metric field.

  • Salesforce: Select the report → column → aggregation type (sum, count, average).

  • Linear/GitHub: Select the project and metric type (issues closed, PRs merged, etc.).

1. Preview the current value to confirm it's the right data point.

2. Click Connect.

3. Brev will connect every hour for an update

Step 3: Add a Manual Commentary Layer (Optional)

Automated check-ins capture the number but not the story. Set a recurring reminder for the goal owner to add weekly commentary — even if the value updates automatically:

1. Open product settings

2. Ensure your check in rhythm is set via Product Settings

3. The owner gets a Slack/email nudge to add context to the automated data.


This is the best of both worlds: numbers that update themselves, context that comes from a human.


Handling Sync Errors

If a data source sync fails, Brev:

1. Marks the goal with a sync error badge.

2. Notifies the goal owner via Slack/email.

3. Retries the sync at the next scheduled interval.

Common reasons for sync failures:

  • Integration authorization expired (re-authorize in Settings → Integrations)

  • The source cell/field was renamed or deleted

  • Rate limiting from the source API (usually resolves on its own)

To manually trigger a sync: open the goal → click Sync now next to the data source indicator.


​⚠️ Note: If a sync has been failing silently for several days, the "Last updated" timestamp will be stale. Check the data source connection status in Settings → Integrations regularly, especially after major changes to your connected tools.
