# Auto-track a goal

Connect a goal to an app so its value updates on its own: picking the app, choosing the number, what the goal shows afterwards, and how to change or remove it.

Auto-track keeps a goal's value current from an app you use, such as HubSpot, Jira, Linear or Google Sheets. Brev reads the number on a schedule and checks it in for you, so nobody types it in. Brev only reads: it never changes anything in the app. To connect the app itself, see [Connecting an integration](https://help.brev.io/connecting-an-integration/).

## Which goals can auto-track

- **Metric**: The app sets the metric's current value, such as a deal count or a cell in a spreadsheet. Data apps (HubSpot, Salesforce, Google Sheets, Excel Online, BigQuery, Snowflake, PowerBI, Sigma, Campfire) and work trackers can feed a Metric.
- **Project**: A work tracker (Linear, Jira or Asana) sets its percent complete from the finished work in one project.

Setting up auto-track needs permission to edit the goal (see [Roles & permissions](https://help.brev.io/roles-and-permissions/#matrix)). A goal tracks one source at a time.

## Open Auto-track

Click **Auto-track** on the goal. It sits next to Check in at the top of the goal page, in the Progress card of a goal with no check-ins yet, and in the goal's side panel (for a Metric, once the metric has a name). The button goes away once the goal is connected.

A searchable list opens, with the apps that can feed this kind of goal in two groups:

- **Ready to track**: Apps you have connected yourself and that are working. Pick one to go straight to choosing what to track. A teammate's connection never appears here: each person tracks through their own.
- **Connect to track**: Apps you have not connected yet. Pick one to connect it from the goal, then carry on (see below). An app whose connection stopped working is listed here too, until you reconnect it.

An app Brev can't track from yet shows **Request access** beside its name, even one you have connected for something else, such as GitHub. See the next section.

## Ask for an app Brev can't track yet

Request access asks the Brev team to support that app. It does not ask anyone in your organization for permission, and nothing on the goal changes. Pick the row and the request is sent at once. A **Request sent** confirmation appears, and the row then reads **Feature requested**. Requests are per person, and the Brev team lets you know when the app goes live.

If the tool you want isn't in the list at all, type its name and pick **Request "\<the name you typed\>"**, or press Enter. The Brev team gets that name. See also [Request an app Brev doesn't connect to yet](https://help.brev.io/connecting-an-integration/#not-yet-available).

## Connect an app from the goal

Picking an app under Connect to track opens its connect screen on the goal:

![The Connect Salesforce to Brev screen opened from a goal: three steps, Cancel and Connect.](https://help.brev.io/doc-assets/screenshots/auto-track-a-goal-connect-to-track.png)

- Most apps show three steps and a **Connect** button. Connect sends you to the app's own sign-in to approve read access. When you finish, Brev brings you back to the goal with the app's dialog open, ready for the next step.
- Campfire, Sigma and Snowflake ask for an API key or credentials in the dialog instead, with no trip to another site.

If the sign-in fails or you cancel it, a message says why and nothing changes (see [Connection error messages](https://help.brev.io/connecting-an-integration/#if-connect-fails)).

## Choose the value and check it

The dialog then asks what to track. The choices depend on the app:

- Linear and Asana ask for a project, and Jira for a site and then a project. Each then asks how to count progress.
- HubSpot asks for a list, then a pipeline and stage.
- Google Sheets asks for a spreadsheet and Excel Online for a workbook, then a sheet, a column and a row.
- Salesforce and Campfire ask for a report, and Snowflake, BigQuery, PowerBI and Sigma for a warehouse, project, workspace or workbook, then the value in it.

Before you save, a **KPI preview** (or **Progress preview** for a work tracker) shows the number Brev reads right now. Click its refresh icon to read it again. If it is not the number you expect, change the choices above it or go **Back**. When it is right, click **Connect**. Each app's details are on its page: [CRM](https://help.brev.io/integrations-crm/), [Work trackers](https://help.brev.io/integrations-work-trackers/), [Data warehouses](https://help.brev.io/integrations-data-warehouses/) and [Docs & spreadsheets](https://help.brev.io/integrations-docs-spreadsheets/).

If the goal's progress comes from its sub-goals, Brev asks you to confirm before auto-track replaces that roll-up.

## What the goal shows once it's connected

- The Auto-track button becomes the connection: the app's icon and `<App>: <what it tracks>`, for example "HubSpot: Number of deals", with a green dot while it works. Click the name to open the item in the app. A HubSpot deal total opens your HubSpot deals list, which shows every deal, not only the ones the total counts.
- The first value arrives straight away as a check-in that reads "**\<your name\> checked in via \<App\>**", noted Auto-generated checkin. Each later refresh that finds a new value adds one the same way, under the name of the person who set it up. These check-ins can't be edited or deleted.
- The goal's tracking method switches to **Integration Refresh**. You can still add your own check-ins.
- Everyone who can see the goal sees the value. Only the app connection is personal.

## How often it updates

Brev reads the value every 30 minutes from 7 AM to 7 PM on weekdays in Sydney, New York or San Francisco, and every 4 hours otherwise. An unchanged value adds no check-in, and a completed goal is no longer updated. Details are in [How often integrations refresh](https://help.brev.io/connecting-an-integration/#sync-cadence).

To read it now, click the refresh icon on the connection. A message says whether the value changed, or why Brev couldn't read it.

## Whose access it uses

Every refresh reads the app with the connection of the person who set up auto-track on the goal, and sees only what that person's account can see in the app. If someone else should own it, they remove auto-track and set it up again with their own connection.

## Change or remove auto-track

- To see what it reads, hover over or click the gear on the connection.
- To track something else, remove auto-track and set it up again.
- To stop it, click the trash icon on the connection, then **Remove** to confirm. The goal keeps its current value and its check-in history, the tracking method goes back to Manual Only, and the Auto-track button returns.

## When auto-track stops working

A red dot on the connection means the last refresh couldn't read a value. The goal keeps its last value until the next good read. Click the refresh icon to see why:

- The app connection lost access, for example after a password change: reconnect the app.
- The item was deleted or moved, or no longer returns a number: remove auto-track and set it up on the new item.
- A Project or Goal read a value outside 0 to 100: pick a value that is a percent.

Disconnecting the app from Settings removes it from every goal that tracks through it. Those goals keep their values and history, and need auto-track set up again after you reconnect.
